2023 Reunion – Minutes from October 28, 2022 Planning Meeting

CALL TO ORDER

The first planning meeting for the 2023 Villeneuve reunion was held on October 28, 2022 at the RCAF Wing 424 in Cornwall, Ontario. The meeting was called to order at 7:10pm with the following in attendance representing the families:

  • Sylvio  – Sharon, Raymond, & Lois Villeneuve
  • Leo – None
  • George – Michelle Villeneuve

CLAN CONTACTS

Delegate(s) has been designated the “Reunion Contacts” for each clan. Contacts are responsible for forwarding all minutes of meetings, gathering the funds from each family unit, as well as, getting family participation numbers. It would be nice to have an accurate count, at May/2023 meeting, attendance for the day is needed for planning purposes.

VENU

Michelle informed the meeting that the venue has been reserved. Same location as 2016. As in 2016 venue will require “Special Occasion Liquor License” and will also require tables & chairs.

Action: Jason & Michelle to investigate costs of liquor license, bar setup, table & chairs.

Action: Jason & Michelle ensure stage is centralized to the east side of the sheltered area.

Note: that if table & chairs costs are pricy, may require families to bring their own.
Note: additional fees to be aware: park fee, liquor license, clean-up fee, portable potties.

REGISTRATION

Registration will be between 09:00am – 10:30am.
This will consist of families, highlighting the latest family tree, to indicate their attendance. Name tags will be issued, to put names to faces.

Joseph’s & Harvey’s Clan has offered to take this on, as in 2016, and be at the tables to ensure all register.

IDENTIFICATION OF THE CLANS

Same identifying colours as in all reunions will be used again.  PLEASE wear colours.

Ernest – Red Alfred – Blue Sylvio – Maroon
Albert – White Joseph – Yellow Leo – Brown
Agnes – Pink Harvey – Green George – Grey

 

Action: ALL clan members to get appropriate coloured attire.

MEMORIAL & BLESSING

The reunion will begin at 11:00am with the Master of Ceremony,  remembering all the deceased family members, since the 2016 reunion. The “Blessing” will follow. In search of, MC and someone to perform the blessing. Further setup & candles needed will be discussed next mtg. May go with remote, electric  candles, and signify each fallen clan member with appropriate ribbon colour tied around candle. This will combat any wind issue.

FAMILY CHRONICLES

Big Thanks to Linda of Agnes Clan for performing this task for the past reunions.

Please forward all additional deaths, births and changes now, to Leslie Major (Ernest Clan), so that the family chronicles could be updated for the 2023 reunion. This information (deceased) will be used for the remembrance.

Action: Jeff to attach 2016 family tree to these minutes.

“Big Thanks” to Roger Samson for the continual maintenance of the website. Roger has completely re-vamped the website, check it out. GREAT JOB ROGER

PUBLICITY

To be discussed at next meeting.

FUNDING

The funding for the 2023 reunion will be the same as 2016. All “family units” from all clans and generations contribution to be determined towards the reunion, next meeting. Examples of different family units were reviewed for clarity for the funding gatherers.

Currently, there is $2188.00 in the bank, after paying to extend website domain.

In addition two Raffles. A Painting donated by Linda V, and a 50/50 draw. The ticket amount will be decided next mtg. Contributions will go towards the Reunion

FOOD

To be discussed at next meeting. 
Sylvio Clan to manage, corn & curd lunch as per previous reunions.
Harvey, Joseph & Albert Clans to manage dinner. Vegan & Vegetarian options discussed, one meatless BBQ.

Action: Jason/Michelle for BBQ grill access. Hotdog and hamburger buns and meat.  
Action: Jeff looking at access to fish. 
Action: Harvey and Albert Clan to have barbequers ready to BBQ.
Action: Ernest Clan to facilitate garbage collection.

CHILDREN’S GAMES

Subcommittee (Dale Robertson, Paul Villeneuve & Darlene MacGregor with team of helpers) to organize different events for the youth. Suggestions were: Fish Pond, Balloon Toss, Sac Races, & Tug-O-Wars. Bouncy Castles & Face Painting Clowns were discussed to rent for the day.

Action: Michelle to investigate Bouncy Castles & get info back for May mtg.
Action: Dale to investigate about the clowns as per last reunions.

Anyone with ideas for games, or wish to organize, or get involved – contact Dale or Paul. Help will be needed, in organizing the games, as well as supervision. Ernest Clan has agreed to find monitors for any bouncy castle, if this occurs.

ADULT ENTERTAINMENT

To be discussed at next meeting

SAFETY & WELLNESS

As far as personal safety around germs. This is an outdoor event. If you wish to wear a mask, wear a mask. Everyone is responsible with their own personnel hygiene. Bring your hand sanitizer with you. We are not getting any younger and, as in the past, “Shit Happens”

Action: Jeff to look into the cost to have St. John’s Ambulance onsite for the day.

I will get a copy of these minutes to all Clan Contact Reps. Please forward to your Clan.  Communications is key for success.

NEXT MEETINGS

Second meeting to be held in Cornwall @ 7pm on Friday, May 5th, 2023. RCAF Assoc. Wing 424 (Air Force Club) downstairs, 240 Water St. West.

Future Meeting:
– Third meeting: Friday, June 23rd, 2023 @ 7pm
– Wrap up meeting: Friday, August 25th, 2023 @ 7pm

ADJOURNMENT
